Privacy Policy

This policy describes what data the Guildpanion Discord bot and web dashboard (“the Service”) collect, how that data is used and shared, and how you can have it deleted. Guildpanion is an independent project and is not affiliated with, endorsed by, or sponsored by Discord Inc. Your use of Discord itself is governed by Discord's Privacy Policy.

1. What we collect

Guildpanion stores only what it needs to provide its features:

• Server configuration — server (guild) IDs, channel IDs, role IDs, and the settings you configure (timers, events, party content, guild lists, reaction-role mappings, auto-role rules, clean-up settings).
• User data — your Discord user ID for features that need it: timer/event attribution, your saved timezone preference, and party availability entries.
• Dashboard sign-in — when you sign in with Discord, we receive your Discord user ID, username, avatar, and the list of servers you belong to (the identify and guilds OAuth scopes). The server list is used only to work out which servers you can manage; it is kept in your session, not in our database.
• Contact form — if you use the contact form, we receive the email address, message, category, and optional name you submit. If you are signed in, your Discord user ID and username are attached so we can follow up. This information is used only to respond to your message.

Guildpanion does not read or store your server's general message history. The bot only processes the slash commands and button/reaction interactions sent to it, and the messages it posts itself.

2. How we use your data

Data obtained through Discord is used solely to provide the Service's stated functionality — running timers and events, managing roles, and operating the dashboard. We do not use it for advertising, profiling, or any unrelated purpose, and we do not use any data obtained from Discord to train machine-learning or AI models.

3. How we share data

We never sell your data. It is shared only with:

• Service providers that host and operate the Service on our behalf: Railway (application hosting and the PostgreSQL database) and Resend (delivery of contact-form emails). These providers process data only as needed to run the Service.
• Legal requirements — if we are required to disclose data by law or valid legal process.

We do not disclose data to data brokers, advertising networks, or analytics services, and we do not share it with any other third party unless you expressly ask us to.

4. Cookies

The dashboard uses a session cookie to keep you signed in after Discord authentication. No tracking or advertising cookies are used.

5. Where data lives and security

Data is stored in a managed PostgreSQL database on our hosting provider (Railway), with encryption at rest and in transit provided by the hosting platform. Access is limited to the Service and its operators. Sign-in itself is handled by Discord — we never see your password. If we become aware of unauthorized access to data obtained through Discord, we will notify Discord and affected users as required.

6. Data retention and deletion

• Removing the bot from your server stops all collection for that server, and we delete data that is no longer needed to provide the Service.
• You can delete individual timers, events, lists, and other content at any time using bot commands or the dashboard.
• Some data expires automatically, such as party availability entries and scheduled role removals.
• To request access to, correction of, or full deletion of your server's or your user data, use the contact form or ask in the Discord support server linked in the site footer, and we will handle it promptly.

7. Children

Guildpanion is not intended for anyone under 13, or under the minimum age of digital consent in their country if higher. We do not knowingly collect data from anyone below that age; if we learn that we have, we will delete it.

8. Changes to this policy

We may update this policy from time to time. Material changes will be announced in the support server, and the “Last updated” date above will change.
